Manual SMOWL

In this SMOWL guide, we explain how to register with SMOWL, install SMOWL and give you instructions on how to use SMOWL.

SMOWL Panel

Using SMOWL begins with opening the SMOWL panel. The most important functions are summarized here by the manufacturer. The panel can be found in the second section of exam courses on moode-exam. Register in the panel and download the computer monitoring software. SMOWL-Panel-Moodle-Course-Main.png

SMOWL Registration

It is essential to identify yourself in advance for a remote supervision test. You must have completed the registration process before the exam. However, it does not have to be completed. The comparison between your photograph and the official photo ID can also be completed after the exam.

Important! Complete the registration carefully. It is usually valid for 3 semesters.

Registration comprises 5 steps.

Since the update in September, the labels between steps 1 and 2 in the process have been swapped, but this does not change the basic procedure. The procedure shown here is the current sequence of steps.

  1. Enter your name and contact email address. Use your student email address or, during the application phase, your contact email address Registrierungs_prozess.png

  2. A picture of your face has now been taken. Allow the web browser to access your computer's webcam. Follow the instructions, especially on lighting, to ensure good image quality for proof of identity.

  3. An official photo ID serves as a reference image for identity checks. This includes ID cards, driving licenses, residence permits, supplementary ID cards, government service ID cards, firearms licenses and student ID cards with a photo. Athene cards, student ID cards and health insurance cards are not permitted. image-1701777721375.png

  4. Install SMOWL CM. CM stands for Computer Monitoring. This records the use of the computer during the test. Give the program all the rights it requires. It is available for Windows X64, MacOs and common Ubuntu and Debian versions.

  5. If the registration is still running, you will see the following screen. You will also see step 5 if you click on Registration again in the SMOWL panel after registration has been completed.

Technical demo test must be carried out

  • You may not enter the test without a test run.
  • Test the computer you want to use in the exam.
  • Also test any alternative computers.
  • All modules must work: Frontal camera, external camera, CM
  • Without a test run, you may be refused support.

Starting the technical demo test or test

Before using SMOWL, the workplace must be prepared accordingly. Clear away all unauthorized objects. Make sure that you are not disturbed unnecessarily. Go through the following steps.

Allow the operating system to start the CM software when you are prompted to do so. If CM is working properly, you will see the “System active” window and the second icon with the notebook in green in the SMOWL block.
Use the QR code to use an IOS or Android device as a second / external camera. The third icon with smartphone and camera is green when everything is working. Please turn to landscape mode.

Note: If you cannot see the SMOWL block, unfold it on the right side of the course using the arrow button.

Start SMOWL CM

You will now be asked again to grant access to your camera and microphone and to open the SMOWL application. If everything has worked, you will see the following image:

Second camera in SMOWL

As explained above, use your smartphone or tablet as a second camera for monitoring your test.

Position of the smartphone/tablet Position your smartphone or tablet so that the desk, your monitors and you yourself are visible from the side - i.e. your profile and hands should be visible. Your second camera should therefore film you from the right or left from a slightly elevated position. You can find sample images for positioning at the following link.

General notes

  • Make sure that your device is sufficiently charged for the second camera or connect it to a power source.
  • Also switch on the “Do not disturb” mode or another similar mode.
  • Never close SMOWL before submitting your exam, always close it afterwards.
  • You can minimize SMOWL during the exam so that you are not disturbed by it.
  • If you start a program during the exam, you will receive the following message: smowl_start_13.png
  • After submitting your exam, SMOWL will ask you whether you have really submitted the exam. Simply click on “Close” or follow the instructions if you have not submitted the exam. smowl_start_15.png
  • If you do not see this instruction after submitting your exam, you can also simply click on “End Activity” in the SMOWL application.
